Then, create a second performance, and enter the specific dances for that show. Creating A Performance Your first step is to create a performance. You must have at least one performance. Step 1 From the Menu Bar in the Recital Window, select Performances, then Create A Performance. Step 2 Type the performance in the input box. Here are some examples for a three-performance show and then for a two-performance show: [Friday Evening, May 16, 2008] [Saturday, June 14, 2008] [Saturday Matinee, May 17, 2008] [Sunday, June 15, 2008] [Sunday Matinee, May 18, 2008] If you have several performances, but they are all the same, then you'd create one "performance". Here are some examples of a "one-performance" recital. [June 13 - 15, 2008] or [May 23 & 24, 2008] or [Christmas Recital] or [2008 Spring Recital] HOW TO CREATE A DANCE Step 1 From the Menu Bar in the Recital Window, select Performances, then Select A Performance. A list of your performances will be displayed. Click the performance that you want to be active. The title will be displayed. Step 2 Select New from the Tool Bar, or use <Ctrl> + [N]. Enter data in the appropriate text boxes as in the example on the previous page. You do not have to enter data in every text box. If you are unsure of some piece of information, just leave that field blank. You can always come back to it later. Also, it doesn't matter in what order you enter dances. You can easily change the order from Change Order of Dances in Options, or use <Ctrl> + [O]. These recital operations apply to a maximum of nine different shows and a maximum of 250 dances per show. The Recital Window can be accessed from several sources. Click Recital in the Tool Bar in the CDW Main Window, the SRD or the FRD. PARAMETERS 1. Number of Performances -- limit of 9 per recital 2. Name of the Dance -- limit of 25 characters. 3. Costume Description - limit of 30 characters 4. Costume Source (Company) -- limit of 20 characters. 5. Classes -- You are limited to FOUR classes in each dance. 6. Music -- limit of 25 characters. 7. Comments -- limit of 70 characters. 8. Cast -- You are limited to a maximum of 100 dancers in each dance (250 dances/show; nine shows). PERFORMANCES Assume that your recital is Friday, Saturday, and Sunday evenings. Each performance (show) is exactly the same (same dances, same casts). There's no need to enter all of the data three times, so you would set up your dances in one performance. Suppose, however, that each show is somewhat different. The Clowns for the Friday evening performance is done by the Monday Tap Class, while that same dance for the Saturday evening performance is done by the Tuesday Tap Class. Or, Dreamers is performed on Friday and Sunday evenings, but not on Saturday evening. If you have situations similar to these, you would set up your dances in three performances. You would select a performance, and then enter tint a Student/Costume/Cost list. You must place a dollar sign (all countries) before the cost, ie., $15.95. See the examples in the Tutorial Year. Enter from one to four classes in the Classes. . . . text boxes. When you enter a class (or classes), CDW will automatically place each member of that class (or those classes) in this dance after you save the data. You will have an opportunity later to add other students to the dance, or delete some members from the dance if that becomes necessary. If no class is participating -- it's a solo, or composed of a selected group of students who are not all in one class -- just skip those text boxes. (In this case, you will be able to enter each participant individually later.) Step 3 When finished, use the Save New Dance button. CDW will save the dance, then re-display it with all of the appropriate dancers listed in the Dance Cast list box. HOW TO CHANGE DANCE DATA Step 1 To change any of the data entered in the previous operation, first display the dance that you want to change. Then, use the Change button. Step 2 Now, enter the desired changes in the text boxes. When finished, use Save Changes. HOW TO ADD DANCERS TO A DANCE When you enter a dance you tell CDW which class(es) is (are) in that dance. CDW then creates a cast list that contains all of the members of the class(es) you entered. Suppose you want a special dancer in a dance, but she is not in the class(es) you entered. She will not be in the cast list that CDW created. This is the operation to use to add that dancer. Procedure Step 1 To add a dancer to a dance, display the dance to which you want to add a dancer. Then, use Options, then Add A Dancer. Step 2 Now, enter the number of the student you want to add to this dance. (Don't forget, if you don't know the student's number, use Find, or <Ctrl> + [F].) HOW TO CUT DANCERS FROM A DANCE When you enter a dance you tell the program which class(es) is in that dance. CDW then creates a cast list containing all the members of the class(es) you entered. Suppose that after you create your dance, one (or more) of the participants drops out. So, you wish to remove that dancer or those dancers. Here's how you do that. Procedure Step 1 To cut a dancer to a dance, first display the dance from which you want to remove a dancer. Then, use Options, then Cut A Dancer. Step 2 Now, enter the number of the student you want to remove from this dance. (Don't forget, if you don't know the student's number, use Find, or <Ctrl> + [F].) HOW TO DISPLAY AND PRINT RECITAL REPORTS CDW can display and print a variety of lists, reports, and files for you. From the Menu Bar in the Recital Window, select Lists and Labels to show this sub-menu: 1 List of All Dances This displays or prints a list of all dances for the active performance. 2 Dances for A Vendor This operation displays or prints a list of all dances that have a common costume vendor. For example, if you want a list of all dances whose costume source is The Alamo Costume Co., enter [Alamo]. 3 Participation Report This is designed to help you see at a glance: 1) who is in what dance; 2) what dances a student is in; 3) for students in more that one dance, how many dances come between the ones she is in. This can be a display or a printout. It is for the active performance. If you want, CDW can display a list of  problem dancers. These are students who have less than three dances between their numbers. 4 Dance Cast This is a printout, only. There are two choices. You can print a list of all dancers in the displayed dance. This is a two-column list of each dancer's name and student/family number. The second choice is a list of all dancers in a chart that includes all measurements for each dancer. 5 Make an ASCII File This will make an ASCII text file of dance casts which can then be imported into other programs, such as your word processor, to help you print a program. For example, the complete filename (and location) of the file for Performance 2, Cast 5, would be: \Program Files\CDW\2000-01\STUDIO1\2CAST5.TXT. 6 Print Labels This operation prints labels for the displayed dance. A label is printed for each student in that dance. The information on the label includes: student name and student number, the title of the performance, and the number/name of the dance. The labels can be 15/16" continuous form for dot matrix printers, or 1" laser labels. See Page 1-8. HOW TO PRINT RECITAL TICKETS CDW can print personalized recital tickets on continuous form, 3" x 5" index cards for Dot Matrix printers, and on 8Н" x 11" sheets containing three 3" x 5" index cards for Laser and Ink Jet printers. You select the copy, the number of tickets to print, and the numbering system. Step 1 From the Menu Bar in the Recital Window, select GoTo, then Ticket Printing to reveal the Ticket Window. On the left of the screen is the ticket form. On the right is a frame containing buttons to select the type of tickets that you are using, the number of tickets you want to print, and the starting number. Step 2 There are six specific lines of copy on the ticket form that you can change. You cannot change the word "presents" in the second line. To change a line, click it with the mousepointer, and then type in the desired line in a special text box. Don't worry about centering the line. After you type the line, press <Enter>. CDW will display the line in the appropriate place on the ticket form. It will be centered. All tickets are numbered sequentially in the lower left corner starting with whatever number you select. You have the option of preceding each number with any alphanumeric characters. For example, you might want to print tickets with an "A" before the number to designate an adult ticket, or a performance. In the example on the previous page, we have preceded each number with [No. -]. When you click that field, enter whatever you want to appear on the ticket just before the sequential number. You might be using reserved seats, and you have a row D, with seats 7 through 10. In this case you would put a [D] in the bottom left of the ticket. No. of Tickets would be [4], and Starting Number would be [7]. CompuDance would print tickets D7, D8, D9, D10. Step 3 When you have the ticket looking the way you want it to look, it would be a good idea to save that copy in a file. You can do that by using Options, then Save Copy. Or, simply use <Ctrl> + [S]. Then, the next time you enter this window you can load that same copy. To do that, use Options, then Load Copy. Be sure to CAREFULLY CHECK each field in the display. Is spelling correct? Is the date correct? Is the time correct? Is the address correct? Is the admission correct? Proofread carefully!! Step 4 To test the ticket printing, click the button for the type of tickets you are using. Then use Test. CDW will print four test tickets. Check that they are lined up correctly. You can continue to test until you are satisfied that the printing is Ok. (See Print Adjustment on the bottom of Page C-2.) Step 5 Enter the number of tickets you want to print, and a starting number. Then, use Print. 9-# change the word "presents" in the second line.
